Publications and mailing

Publish protected issues and produce reproducible digital and print recipient records.

Create a publication and issue

Publication metadata, protected files, eligibility, and fulfillment remain connected without turning the portal into a full editorial system.

  1. Configure the publication name, cadence, access behavior, and member-facing description.
  2. Create the issue with its title, volume, number, publication date, and optional embargo.
  3. Upload the approved cover and protected digital asset.
  4. Review which plans and exceptions should provide digital or print eligibility.
  5. Save the issue in its pre-release state until content and eligibility are approved.

Release a protected issue

Releasing makes the issue available according to its embargo and entitlement rules and records the eligible audience used for delivery operations.

  1. Confirm the protected file, cover, issue metadata, and release date.
  2. Review plan-based access and explicit exceptions.
  3. Freeze the eligible digital and print audience for the issue.
  4. Release the issue and verify member access with an eligible test record.
  5. Use the connected notification worker when release email is enabled.

Prepare a print mailing export

Mailing exports are sensitive, audited fulfillment artifacts based on a frozen issue audience and recorded delivery preferences.

  1. Review missing, invalid, international, and multi-copy address exceptions before export.
  2. Confirm the issue cutoff and frozen print-recipient count.
  3. Generate the approved mailing CSV and record the fulfillment handoff.
  4. Store the export only in the approved fulfillment location and remove working copies according to policy.
  5. Record returns and replacements against the issue so later counts remain explainable.

Handle changes after the audience is frozen

A later address or membership change should not silently rewrite what was sent to a printer or who was eligible on release day.

  • Update the member record so future issues use the new information.
  • Record a replacement or fulfillment correction for the current issue when needed.
  • Preserve the original issue snapshot and export history for reconciliation.
