Before you begin
What you’ll need
- Memberships module enabled
- Membership management permission
- At least one active membership plan
01
Configure a plan
Plans define the policy used when a new term is sold or granted. Existing terms retain their recorded history when a plan later changes.
- Set a clear name and stable slug, price, currency, duration, and anniversary or calendar renewal basis.
- Configure grace period, renewal behavior, print quantity, tax-deductible amount, admission requirements, and included resources.
- Use separate plans when the price, delivery obligation, eligibility, or included access materially differs.
- Deactivate plans that should no longer be available rather than rewriting historical terms.
02
Add a membership term
A term records the exact interval a member is eligible. Paid and complimentary workflows create terms through different commands but produce the same explainable access result.
- Open the member and choose Add membership term.
- Choose a paid or complimentary action and select the plan.
- Confirm the start and end dates. For lifetime plans, confirm that no finite end date is expected.
- For a paid term, record the amount, method, date, reference, and notes. For a grant, record the grant type and reason.
- Review the proposed term and save it once.
03
Understand lifecycle status
Status is derived from terms, dates, grace policy, payment outcomes, and explicit administrative events rather than a freely editable active switch.
- Active means a current term provides eligibility.
- Grace period means the configured post-expiration window still applies.
- Past due or lapsed indicates that payment or term coverage no longer supports normal eligibility.
- Suspended, canceled, deceased, and archived reflect explicit lifecycle outcomes and may remove access.
04
Correct the record safely
Do not silently rewrite financial or membership history after it has affected access, receipts, or external systems.
- Use a payment adjustment or reversal for an incorrect financial entry.
- Use cancellation or the applicable lifecycle command to end a membership relationship.
- Review access after any correction and reconcile connected systems when required.
